7_27_26 Board Meeting Follow Up

Hi Neighbors,

After spending the last two weeks getting caught up, listening, and understanding the concerns raised by our neighbors, the interim HOA Board met Monday night for a focused voting session. To achieve this, we have formally adopted a Support-First Protocol, formalized our leadership structure, established clear governance, and built the authority needed to make official decisions for the community.

As an interim board, our goal is straightforward: to bring stability to the Westons and lay a solid foundation so the upcoming board and committees can continue the support-first protocol we are adopting. We view the policies and structure we are putting in place now as a starting framework—one that we expect the incoming board and our neighborhood committees to review, refine, and improve over time.

Key Resolutions Passed Monday Night

To formalize our structure, the board officially ratified four key Board Resolutions corresponding to critical foundational documents:
 
1. HOA Governance Protocol & Glossary of Terms: Establishing standardized procedures for how the board operates and defining standard governance terms so every resident has clear visibility into board actions.
2. Committee Empowerment & Transparency Mandate: Defining the structure, authority, and charter for volunteer committees to ensure decision-making is shared with the community.
3. Community Information Sessions Framework: Setting clear guidelines and moderator protocols for hosting open, constructive neighborhood information sessions.
4. Updated Architectural Requirements & Guidelines: Formalizing an updated, fair ARC framework and standards analysis to ensure transparency and reasonable property guidelines.
 
Launching Neighborhood Committees

A major part of creating a collaborative community is giving residents a direct voice in how things are run. We are officially opening up the following committees and working groups:
 
- Architectural Review Committee (ARC): Working on clear, fair, and transparent property guidelines.
- Governance Advisory Committee: Helping ensure board processes, rules, and bylaws are followed properly and openly.
- Amenities Working Group: Focusing on maintaining and improving our shared spaces, including the pool, basketball courts, and common areas.
- New Neighbor Welcome Committee: Greeting new residents and building a warm, connected neighborhood culture.
- Nominating Committee: Identifying and supporting candidates for future board elections.
- Election Committee: Organizing fair, smooth, and transparent voting processes for the community.

Save the Date: Next Board Meeting

Our next HOA Board Meeting will take place next week:

- When: Tuesday, August 11th at 7:00 PM
- Where: Jason Brown Pavilion (Westons Park Pavilion)
- Agenda: We are working on this and hope to share it soon! We will open the floor to allow residents to ask questions or share concerns.
 
We are also working with Kirkpatrick Management Company to schedule an Annual Meeting. Per the bylaws, it must be held in September or October, and notice must be posted to neighbors 60 days in advance. This will push us into October, and we are working to secure the Greek Church meeting room again. More information to follow!
